Salary Payment


1. Introduction:

This document sets out the procedures for the payment of salaries and allowances to employees.


2. Purpose:

The purpose of this procedure is to standardise and meet Award requirements in the payment of salaries and allowances to employees.

4. Definitions:

4.1. Salaries: Amount defined in letter of commencement, Employee Agreement or reviews that constitute payment as an employee.


4.2. Payment Date: the date which funds are clear into employee accounts. These dates are the 15th and 30th of every Month, in the case of weekends or public holidays it shall be deemed to be The previous Working Day.


4.3. Credited: A process by which amounts salaries are transferred into employee accounts by electronic fund transfer.


4.4. Salary Slips: A confidential print out provided to verify to the employee the amount and break down including deductions of each individual salary payment.


5. Procedure

5.1. All Annual leave & sick forms are to be forwarded by the Branch Manager to the Payroll Department for processing at least Two clear working days before the 15th and 30th of the month.


5.2. Any variations (eg Salary Reviews) are to be forwarded by the branch manager to the Payroll Department for processing at least Two clear working days before the 15th and 30th of the month.


5.3. All variations including New Employees are to be recorded on the Payroll Software prior to the execution of the Payroll.


5.4. Payroll department is to Execute Payroll Software and produce Pay Slips and a Payment Report.


5.5. Payroll Department is to sign off electronic file and submit to the Financial Controller for Authorisation.


5.6. Financial Controller is to review and Authorise / Amend and hand back to Payroll Department.


5.7. Payroll Department is to Submit to ITM’s Bankers for processing and distribution by the bank.


5.8. Pay Slips are to be distributed to Branch Managers by the Payroll Department on the day of transfer of funds into employees account.


5.9. Branch Managers are to distribute pay Slips to employees on the day of transfer of funds into employees accounts.


5.10. All enquires are to be Channeled to the payroll department via the Branch Managers.
