Vehicle Procedure


1. Introduction:

This document sets out the procedures for operating a company supplied Vehicle.


2. Purpose:

The purpose of this procedure is to standardise and meet Legislative requirements in the provision of company owned vehicles to staff.

4. Definitions:

4.1. Accidents: Where a collision has occurred with a company vehicle and damaged is sustained to any property or person.


4.2. Drivers: Any person who is entrusted with driving a company vehicle.


5. Procedure
Prestart checks: Forklifts & Vehicles/Trucks

5.1. It is the driver’s responsibility to ensure that the Vehicle under their control is roadworthy at all times.


5.2. Drivers who suspect a vehicle is not roadworthy or has mechanical difficulty should immediately report this to the branch manager.


5.3. Branch Manager is responsible to ensure that the Administration manager is informed of the problem.


5.4. Administration manager is responsible for organizing repairs to be undertaken so as to restore the vehicle to roadworthy / working order. This must be communicated to the driver and instructions given to facilitate repairs.


5.5. Drivers are responsible for keeping the vehicle filled with the appropriate fuel and odometer readings are supplied to Fleet Card.


5.6. Drivers who incur a fine for traffic infringements will be held liable to pay the fine in the same fashion as if the vehicle was that of a personally owned one. Drivers who incur a speeding fine for exceeding the road limit by greater than 10kms could at the discretion of Senior management be terminated.


5.7. Drivers are to ensure that Company supplied Vehicles are always presented in a Neat and Tidy fashion.


5.8. It is the Drivers responsibility to ensure that the vehicle meets regular servicing intervals at a repairer nominated by the Administration Manager.


5.9. All work performed on Vehicles will be approved by the Administration manager with the service provider.


5.10. In the event of an accident the driver must fulfil all statutory requirements and Co-operate with authorities.


5.11. In case of an accident the driver shall not under any circumstances ADMIT LIABILITY. Liability is for the insurance companies to ascertain and should be left to them to do so.


5.12. 5.12 In case of an accident the driver must complete an In Case Of Accident Form. This is to be submitted to the administration manager.
